Registration Terms

Any registration request must be made by email to the Local Agency or directly online via the Client Space accessible from the Local Agency’s website or the website of our network www.nomadays.fr.

To log in to the Client Space, simply enter the username and password created during the first login.

Registration is considered final once the online booking form has been completed and upon receipt of the deposit and/or balance, depending on the registration date.

Depending on the selected services and the country's regulations, a copy of the passport may be requested by the Local Agency. If the passport copy is not sent within the specified timeframe, the Local Agency cannot guarantee the proper execution of the booked services.

Once the payment has been made, a confirmation email is sent to the Client. It includes the payment confirmation as well as the downloadable electronic invoice.

A receipt confirmation is sent to the Client electronically. If the Client does not receive this receipt confirmation, the booking will still be considered final from the moment it is received by the Local Agency.

Payment Terms

Registration more than 30 days before the departure date

The Client must pay a deposit of 30% of the total amount of the reserved services. The balance of the stay must be paid no later than 30 days before the start date of the trip.

Registration less than 30 days before the departure date

The Client must pay the full amount of the trip in a single payment.

Payment Methods

Upon confirmation of your booking, your local agent will prepare your electronic invoice, issued in the name of the Nomadays network of local agencies, a duly registered travel agency in France. Payments can be made either:

• By credit card online, free of charge, using the payment links available on the electronic invoice.
• By bank transfer to the account of Nomadays travel agency, based in France and duly registered.

The electronic invoice is updated upon each payment receipt and remains accessible at any time from the Client Space. It can also be downloaded and printed.

Cancellation Conditions and Fees

If the Client is required to cancel the trip, they must inform the Local Agency and their insurer by any written means that allows for an acknowledgment of receipt, as soon as the event triggering the cancellation occurs. The issuance date of the written notification will be considered as the cancellation date for the calculation of cancellation fees. Generally, the insurance company will assess, based on the documents provided directly by the Client, the date of the event that led to the cancellation decision to determine whether the cancellation fees will be reimbursed.

Total Cancellation Fee Schedule:

• More than 45 days before departure: 30% of the total trip price including taxes
• Between 44 and 31 days before departure: 40% of the total trip price including taxes
• Between 30 and 14 days before departure: 50% of the total trip price including taxes
• Between 13 and 7 days before departure: 75% of the total trip price including taxes
• Less than 7 days before departure: 100% of the total trip price including taxes

Partial Cancellation Fee Schedule, except in special cases:

If a traveler registered for a private trip cancels their participation while the trip is still going ahead for the other participants:

• For personal (non-shared) services: the cancellation fee schedule above will be applied to the traveler who cancels.
• For shared services: fees equal to 100%, regardless of the cancellation date, will be charged to the canceling participant for their share of the shared travel services.

When multiple clients have registered under the same booking and one of them cancels their trip, the cancellation fees are deducted from the amounts collected for that booking, regardless of who made the payment.

In case of cancellation, for any reason, external costs to the trip booked with the Local Agency and incurred by the Client, such as transportation costs to and from the trip departure point (plane, train, or bus tickets), visa fees, travel document fees, and vaccination costs, cannot be reimbursed.

Transfer of Contract

In the event of a contract transfer, the Client must inform the Local Agency by email at least 7 days before departure. This transfer is subject to the availability of air transport and the appropriate level of the transferee. It may incur additional costs (particularly in the case of flight ticket changes and name-specific services), which will be charged to the designated transferee. In any case, the original Client and the transferee are jointly responsible for the payment of the trip price and any additional costs.
