Registration terms

All registration requests must be made by email to the local agency or directly online via the client space available on the local agency’s website or on our partner website www.nomadays.fr.

To access the client space, simply enter the login and password set during your first connection.

The registration is considered final once the online booking form has been completed and the deposit and/or balance has been received, depending on the registration date.

Depending on the services selected and the country’s regulations, a copy of the passport may be requested by the local agency. If the passport copy is not sent within the timeframe indicated by the agency, it cannot guarantee the proper delivery of the booked services.

Once the payment is made, a confirmation email is sent to the client. It includes confirmation of payment and a downloadable electronic invoice.

An acknowledgment of receipt is sent to the client by email. If the client does not receive it, the booking will still be considered final once received by the local agency.

Payment terms

Registration made more than 30 days before the departure date

The client must pay a deposit of 30% of the total amount of the booked services. The remaining balance must be paid no later than 30 days before the start of the trip.

Registration made less than 30 days before the departure date

The client must pay the full amount of the trip in a single payment.

Payment methods

Once your booking is confirmed, your local agent will prepare your electronic invoice, issued in the name of the Nomadays collective of local agencies, a travel agency duly registered in France.
Payments can be made either:

• by credit card online, free of charge, via the payment links available in the electronic invoice
• by bank transfer to the account of Nomadays, a travel agency based in France and duly registered

The electronic invoice is updated with each payment received and remains accessible at any time from the client space. It can also be downloaded and printed.

Cancellation conditions and fees

If the client is forced to cancel the trip, they must inform the local agency and their insurer by any written means that allows for an acknowledgment of receipt, as soon as the event leading to the cancellation occurs. The date the written notice is sent will be considered the cancellation date for the calculation of cancellation fees. In general, the insurance company will assess the date of the triggering event based on the documents provided directly by the client, in order to determine whether to reimburse the cancellation fees.

Scale of total cancellation fees:

• More than 45 days before the departure date: 30% of the total price of the trip including tax
• From 44 to 31 days before the departure date: 40% of the total price of the trip including tax
• From 30 to 14 days before the departure date: 50% of the total price of the trip including tax
• From 13 to 7 days before the departure date: 75% of the total price of the trip including tax
• Less than 7 days before the departure date: 100% of the total price of the trip including tax

Scale of partial cancellation fees (except special cases):

If a traveler registered for a private trip cancels their participation, while the trip is maintained for the other participants:

• For personal (non-shared) services: the above cancellation fee schedule will apply to the traveler who cancels.
• For shared services: fees equal to 100%, regardless of the cancellation date, will be charged to the canceling participant for their share of the shared services.

When several clients have registered under the same file and one of them cancels their trip, the cancellation fees will be deducted from the amounts received for that file, regardless of who made the payment.

In case of cancellation, for any reason whatsoever, expenses not included in the trip booked with the local agency and incurred by the client—such as transportation to and from the departure point (plane, train, or bus tickets), visa fees, travel documents, vaccination costs—will not be subject to any reimbursement.

Contract transfer

In the event of a contract transfer, the client must inform the local agency by email no later than 7 days before departure. This transfer is subject to the availability of flights and the suitability of the transferee. It may incur additional costs (especially in the case of airline ticket modifications or non-transferable services), which will be billed to the designated transferee. In any case, the assignor and the transferee remain jointly responsible for payment of the trip price and any additional charges.
