Registration Terms

All registration requests must be made via email to the Local Agency or directly online through the Client Space, accessible from the Local Agency's website or our group’s website www.nomadays.fr.

To log into the Client Space, simply enter the username and password created during the first login.

Registration is considered final once the online booking form has been completed and the deposit and/or balance has been received, depending on the registration date.

Depending on the selected services and the country’s regulations, the Local Agency may request a photocopy of the passport. If the passport photocopy is not sent within the timeframe specified by the Local Agency, it cannot guarantee the proper execution of the booked services.

Once payment has been made, a confirmation email is sent to the Client, including payment confirmation and a downloadable electronic invoice.

A receipt acknowledgment is sent to the Client electronically. If the Client does not receive the acknowledgment, the booking will still be considered final upon receipt by the Local Agency.

Payment Terms

Registration more than 30 days before departure

The Client must pay a deposit of 30% of the total amount of the reserved services. The balance
must be paid no later than 30 days before the start date of the trip.

Registration less than 30 days before departure

The Client must pay the full amount of the trip in one single payment.

Payment Methods

Upon confirmation of your booking, your local agent will prepare your electronic invoice, issued under the collective of local agencies, Nomadays, a duly registered travel agency in France.
Payments can be made either:

• By credit card online, without fees, using the payment links available on the electronic invoice.
• By bank transfer to the account of Nomadays, a travel agency based in France and duly registered.

The electronic invoice is updated with each received payment and remains accessible at all times from the Client Space. It can also be downloaded and printed.

Cancellation Conditions and Fees

If the Client is obliged to cancel the trip, they must inform the Local Agency and their insurer by any written means that allows for an acknowledgment of receipt, as soon as the event triggering this cancellation occurs. The date of issue of the written notification will be considered as the cancellation date for the billing of cancellation fees. Generally, the insurance company will assess, based on the documents provided directly by the Client, the date of the triggering event that led to the decision to cancel the trip in order to approve reimbursement of the cancellation fees.

Scale of total cancellation fees:

• More than 45 days before departure: 30% of the total trip price including taxes
• From 44 to 31 days before departure: 40% of the total trip price including taxes
• From 30 to 14 days before departure: 50% of the total trip price including taxes
• From 13 to 7 days before departure: 75% of the total trip price including taxes
• Less than 7 days before departure: 100% of the total trip price including taxes

Scale of partial cancellation fees, except in special cases:

If a traveler registered for a private trip cancels their participation while the trip is maintained for other participants:

• For personal (non-shared) services: the cancellation fee scale above will apply to the traveler who cancels.
• For shared services: fees equal to 100%, regardless of the cancellation date,
  will be charged to the participant who cancels for their share of the trip's shared services.

When multiple clients have registered under the same booking and one of them cancels their trip, the cancellation fees are deducted from the amounts received for that booking, regardless of who made the payment.

In the event of cancellation, for any reason, any external costs incurred by the Client that are not included in the trip booked with the Local Agency—such as transportation costs to the departure location and return home (plane, train, or bus tickets), visa fees, travel documents, vaccination costs—will not be eligible for reimbursement.

Contract Transfer

In the event of a contract transfer, the Client must inform the Local Agency at least 7 days
before departure by email. This transfer is possible subject to airline availability and the
appropriate level of the transferee. It may incur additional costs (particularly in the case of ticket modifications and name-specific services), which will be charged to the designated transferee. In any case, the transferor and the transferee are jointly liable for the payment of the trip price and any additional costs.

CANCELLATION AND ASSISTANCE INSURANCE

To participate in our trips, you must be insured for repatriation assistance and medical expenses abroad.

Your local agency will be informed, but only the participant is responsible for following the claim declaration procedures. The participant must therefore keep this agreement with them throughout their trip.
